How to generate PDFs from Excel

How to turn Excel rows into PDFs: Word mail merge, Zapier or Make, Power Automate and the tools that read workbooks, with template editors and starting prices.

Updated 21 Oct 2026

Excel workbooks hold price lists, payroll exports, grade sheets and client lists. Turning each row into a PDF is a classic mail merge, and there are several ways to run it, from Word to dedicated tools. Prices in this guide were checked on 20 Oct 2026.

The native option

Excel has no built-in document generation. Word mail merge can read rows from a workbook. You build a Word document with merge fields, point it at the sheet and produce one letter, label or certificate per row. Word can then save the result as a PDF.

This costs nothing beyond Microsoft 365. It is a manual run each time, and splitting the output into one PDF per row takes extra work. For a repeating process, most teams move to a tool.

The Zapier, Make or n8n path

Generation can also run from a Power Automate flow, or from Zapier, Make or n8n watching a workbook for new rows. The flow passes each row to a document generation tool and stores the PDF.

  • SourceToDocs reaches Excel data through Zapier, Make or n8n on its Pro plan. It uses Google Docs templates and writes Google Slides, Google Docs, PDF, PPTX and DOCX.
  • Documentero reaches Excel data through Zapier, Make or n8n, or through an uploaded file. It uses Word templates and outputs DOCX, XLSX and PDF. Paid plans start from $19.50 a month, and the free tier is a one-time 50 documents.
  • MailMergic merges spreadsheet rows into PDF form templates and connects to Zapier. It also has an offline desktop app. The Pro plan starts from $39 a month billed yearly, and the free tier gives 100 watermarked documents.

Each row run through Zapier or Make also counts toward that platform’s task or operation limits.

Dedicated tools

These tools read Excel data directly, through an add-in, an upload or a connector.

  • Sheetgo is a spreadsheet automation tool with Google Docs templates that outputs PDF, Google Docs and email. Document generation is on the Pro plan, from $35 a month billed annually ($50 monthly), and is not included in the Free plan.
  • Document Studio uses Google Docs templates and outputs PDF, Google Docs, Google Slides, email and e-signature. The Standard plan is $79 a year, about $6.58 a month, and the trial covers 25 documents a month.
  • Fluent (Windward) uses Word, Excel and PowerPoint templates and outputs PDF, DOCX, XLSX, PPTX and HTML. It also reads JSON, XML, SQL and OData. Pricing is on request, with a 30-day trial.
  • Slideform builds reports from app data with Google Docs templates and outputs Slides, PPTX, Docs, DOCX, PDF and XLSX. Pricing is on request, and a free trial is offered.

Which route to pick

For an occasional run, such as one batch of letters a quarter, Word mail merge is already on your computer. Expect some manual work to split and name the PDFs.

For a repeating process with a few hundred rows, compare the low-cost tools. Document Studio’s Standard plan is about $6.58 a month on annual billing. Documentero starts at $19.50 and MailMergic at $39. If the workbook already lives in a shared drive and changes often, Sheetgo’s Pro plan connects spreadsheets and documents in one place.

If your company runs on Microsoft 365, Power Automate may already be licensed. A flow that reads new rows and calls a document generation tool keeps everything in that stack. If you use Zapier or Make for other work, Documentero and MailMergic plug in there.

Line items need a test. An invoice built from Excel often needs several rows grouped under one customer. Word mail merge handles one record per document. The records on this site do not confirm row grouping for these tools, so build one real multi-row document during the trial.

For reports with charts and many tables, Fluent and Slideform take a report-template approach and quote on request. For simple one-row-one-PDF jobs, the lower-priced tools cover it. For every Excel option, including slide outputs, see document generation for Excel.
