Airtable can produce a PDF on its own, but only one record at a time and only from a record layout. Most teams that need invoices, certificates or reports at volume add a document generation tool. This guide covers the native options, the automation platform route and the tools that read a base directly. Prices were checked on 20 Oct 2026.
The native option
Airtable has two native options. The Page Designer extension prints or saves a record layout as a PDF. The Document Automator action creates Google Docs from records inside an Airtable automation.
Airtable Page Designer uses a visual builder. You place fields on a page, choose a record and print it or save it as a PDF. It comes with Airtable seats: the record on this site lists the Team seat from $20 a month per user, billed annually, and the record marks a free tier. Each PDF starts with a person opening the extension.
Airtable Document Automator runs as an automation action on all plans, according to Airtable’s support documentation. It writes a Google Doc to Google Drive. If you need a PDF, the export from Google Docs is an extra step that you handle yourself or with another tool.
The Zapier, Make or n8n path
An Airtable automation can start generation when a record is created or updated, and a button field can start it by hand. When the document generation tool has no direct Airtable connection, a Zapier, Make or n8n scenario sits in the middle: it watches the table, passes the fields to the tool and receives the file.
- Docupilot reaches Airtable through Zapier or Make. It uses Word or visual templates and starts from $29 a month for 100 documents, with a 14-day trial.
- Plumsail Documents also works through Zapier and Make, and fits Power Automate and SharePoint setups. It uses Word templates. A third-party review lists the Folder plan from $25 a month billed annually for 200 documents; there is a 30-day trial.
- CraftMyPDF is a PDF API with a drag-and-drop editor and connectors for Zapier, Make and n8n. The Lite plan starts from $29 a month for 1,200 PDFs, and a free plan covers 50 PDFs a month.
- APITemplate.io offers a visual or HTML editor and Zapier, Make and n8n connectors. Paid plans start from $19 a month and the free plan covers 50 documents a month.
This path suits teams that already run Zapier or Make. Every generated document also counts as a task or an operation on the automation platform’s bill.
Dedicated tools
These tools read the Airtable base directly and do not need an automation platform in between.
- SourceToDocs reads the Airtable base, writes Google Slides and Google Docs, and exports PDF, PPTX and DOCX from Google Docs templates. It starts from $19 a month billed annually ($24 monthly), and the free plan covers 1 document a month.
- DocsAutomator uses Google Docs, Word or PDF form templates and outputs PDF, Google Docs and email. It starts from $19 a month billed yearly ($29 monthly); the free option is limited to watermarked previews.
- Documint uses a visual builder and outputs PDF with e-signature envelopes included. It starts from $39 a month billed annually, with a 14-day trial and no free plan.
- TypeFlow turns Airtable records into PDFs through Google Docs templates. It starts from $24 a month and gives 20 free test documents.
- miniExtensions is a suite of more than 60 Airtable extensions that includes a PDF Generator. It starts from $19 a month billed annually ($29 monthly) and has a free tier. The template editor is not recorded on this site.
- PDF Maker (BustBrain Labs) outputs PDF, Google Docs, DOCX and email. It starts from $15 a month, and the free tier covers 20 PDFs.
- Carbone uses Word, Excel, PowerPoint, ODT or HTML templates and outputs PDF, DOCX, XLSX, PPTX and HTML. It is priced in euros: EUR 26 a month billed annually, about $28. The free cloud plan covers 100 documents a month, and a self-hosted Community edition is free.
The full list, with filters for template editor and price, is on the Airtable to PDF page.
Which route to pick
Start with volume. If someone prints a handful of records a week, Page Designer is already in your Airtable plan. If a Google Doc is enough and nobody needs a PDF, Document Automator covers it without another vendor.
If documents must be created automatically, one per record, use a dedicated tool with an Airtable automation or a button field as the trigger. Compare plans by documents per month: the starting plans above range from 100 documents (Docupilot) to 1,200 PDFs (CraftMyPDF).
Line items need a check. Invoices and quotes pull rows from linked records into a table, and the records on this site do not yet confirm line-item support for these tools. Build one real invoice during the trial before you commit.
Pick the template editor by who builds the document. Ops teams who work in Google Docs can maintain SourceToDocs, DocsAutomator or TypeFlow templates. Teams who work in Word can maintain DocsAutomator, Docupilot or Carbone templates. A visual builder, as in Documint or CraftMyPDF, suits people who lay out pages by hand. HTML templates suit developers.
If your logic already lives in Zapier or Make, the automation path keeps it in one place. If not, a tool that reads the base directly has one bill and one fewer step to fail. For every Airtable option, including other outputs, see document generation for Airtable.
