How to generate PDFs from Zoho

How to generate PDFs from Zoho CRM, Books and Recruit: Zoho Writer merge, the Zapier and Make route, and other tools that read Zoho, with prices and free tiers.

Updated 21 Oct 2026

Zoho runs CRM, accounting, recruiting and dozens of other apps, and most of the documents those teams need, such as letters, contracts, invoices and certificates, start from a Zoho record. Zoho’s own Writer covers most of this. Few third-party tools read Zoho directly. Prices in this guide were checked on 20 Oct 2026.

The native option

Zoho Writer merges data from Zoho CRM, Books and Recruit into documents with its Document Automation add-on. The record on this site lists Word templates and outputs of PDF, DOCX, e-signature documents and email, with a DocuSign integration. It also merges from its own forms and from CSV files.

The editor is free, and the add-on includes 200 free credits a month. Credit prices beyond that did not render on Zoho’s page, so treat paid pricing as on request.

Generation starts from the Writer merge screen, or from a button or workflow in the Zoho app that holds the data. A CRM workflow can, for example, create a contract when a deal reaches a stage.

The Zapier, Make or n8n path

Zapier or Make can watch a Zoho app for a new or changed record and pass its fields to a document generation tool. This suits teams that need data from Zoho and another system in the same document, or that already manage automations on those platforms.

  • SourceToDocs reaches Zoho through Zapier, Make or n8n on its Pro plan. It uses Google Docs templates and writes Google Slides, Google Docs, PDF, PPTX and DOCX.
  • Plumsail Documents reaches Zoho through Zapier or Make, and fits Power Automate and SharePoint setups. It uses Word templates and outputs PDF, DOCX, XLSX and PPTX. A third-party review lists it from $25 a month billed annually for 200 documents, with a 30-day trial.
  • Better Proposals connects to Zoho directly and to Zapier. It is a proposal suite with a visual builder that outputs web proposals, PDF and e-signature documents.

Each document that runs through Zapier or Make also counts toward that platform’s task or operation limits.

Dedicated tools

The records on this site list one third-party tool that reads Zoho without an automation platform: Better Proposals, described above. It is a proposal and e-signature product, listed as an adjacent tool. The Starter plan is listed at $13 a month per user, though the billing basis is unclear and the plan table shows $19. There is a 14-day trial.

Plumsail Documents reaches Zoho only through Zapier or Make. For other document types, Zoho Writer is the direct option.

The full list, which is short, is on the Zoho to PDF page.

Which route to pick

Start with Zoho Writer. It reads CRM, Books and Recruit without a connector, uses Word-style templates and includes 200 free credits a month. For letters, offer letters, certificates and simple contracts, it is the shortest route.

If you send sales proposals and want tracking, a web proposal and e-signature in one product, compare Better Proposals. It prices per user, so the cost grows with the team.

If the document needs data from outside Zoho, or your team builds automations in Zapier or Make, Plumsail Documents through those platforms is the general-purpose route. Its Word templates suit ops staff.

Line items need a test. An invoice or quote pulls rows from a related list, such as products on a deal or items on a Books invoice. The records on this site do not confirm related-list support for these tools, so build one real document during the trial or the free credits.

Volume decides cost. Writer’s 200 free credits cover a small team’s monthly output. Above that, compare Writer credit prices with Plumsail’s 200 documents a month plan.

Finally, decide who maintains it. Writer templates and CRM workflows can be run by a Zoho admin. The Zapier route needs someone who manages automations there. For every Zoho option, see document generation for Zoho.
